Job Summary

We are seeking a dedicated and organized Association Manager to join the Oregon School Counselor Association (OSCA) team. The Association Manager will be responsible for overseeing the day-to-day operations of OSCA, including membership management, annual program operations, Board of Director and Committee engagement support, and communication efforts. The ideal candidate will have strong leadership skills, a passion for the educational sector, and the ability to independently manage multiple projects and initiatives in a dynamic environment.



Key Responsibilities


Membership Management:

  • Serve as the primary point of contact for members, responding to inquiries, resolving issues, and ensuring overall satisfaction.
  • Track and manage member data, ensuring that membership records are up to date and accurate.
  • In partnership with the Board of Directors and Membership Committee, develop and implement strategies to enhance member benefits, engagement, and retention.

Event Coordination:

  • Organize and execute operational tasks associated with the OSCA Annual Conference, workshops, webinars, and other events for association members.
  • Manage event promotion, registration, and post-event follow-up.
  • Aid the Conference Committee Chair and Professional Development Committee Chair in coordinating logistics and developing event budgets.

Annual Program Operations

  • Plan, organize and execute OSCA’s annual awards, grants and scholarship programs.
  • Manage program promotion, application process, and award notification follow-up.

Website, Communications and Marketing:

  • Maintain OSCA’s website, including acting as primary contact for Tradewings.
  • Oversee the creation and distribution of regular communications, including newsletters, emails, and social media updates.
  • Develop and implement a comprehensive communications strategy to enhance the visibility of the organization and its mission.
  • Ensure consistent and effective messaging across all platforms.
  • Collaborate with other departments to support public relations and advocacy efforts.

Administrative Support:

  • Manage daily administrative tasks, including scheduling meetings, preparing reports, facilitating updates to bylaws, completing SCA tasks required by the American School Counselor Association (ASCA), and maintaining organizational documents.
  • Assist in the preparation of board meetings and ensure board members are well-informed about association activities.
  • Manage the annual Board of Directors nomination and election process.
  • Assist in ensuring compliance with 501(c)6 regulations and industry standards.

Strategic Planning:

  • Collaborate with leadership and board members to set long-term goals and strategies for the association's growth and success.
  • Monitor industry trends and best practices to inform association initiatives.
  • Participate in decision-making processes to align operations with the mission and vision of the organization.


Qualifications

  • Bachelor's degree in nonprofit management, business administration, communications, or a related field (preferred).
  • Minimum of 3 years of experience in nonprofit management, association management, or a related field.
  • Strong project management skills with the ability to handle multiple tasks simultaneously.
  • Excellent written and verbal communication skills.
  • Proven ability to build relationships with diverse stakeholders, including members, donors, sponsors, and vendors.
  • Experience with customer service, event planning and fundraising.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with association management software (AMS) or CRM systems.
  • Strong organizational and time-management skills.
  • Ability to work both independently and collaboratively in a fast-paced environment.


Preferred Skills

  • Knowledge of nonprofit industry standards, best practices, and regulations.
  • Familiarity with social media platforms and digital marketing tools.
  • Experience with budget management and financial reporting.

Compensation and Benefits

  • This is an independent contractor position (1099).
  • $57 per hour, with potential for annual increase to adjust for inflation.
